CPKC Women’s Open at Shaughnessy: Event Overview and Staff Guide

Introduction

Welcome to a special time in our Club’s history. We are elated to host the LPGA Tour’s CPKC Women’s Open from August 21st to August 27th, 2023. This incredible event will draw the attention of golf enthusiasts worldwide – broadcasted in over 150 countries, with close to 90 of the top 100 players on the LPGA tour expected to grace our beautiful course. As you probably know, we have hosted numerous PGA and LPGA tour events in the past and we are very well known for being the home of championship golf in Western Canada.

Our Club will be the stage where these world-class athletes will display their skills and determination. We take great pride in our tour-proven course and are certain it will provide a challenging yet rewarding experience for each competitor.

One of the great feel-good storylines that will come from the hosting of the Open is how our Club has provided a platform for donations to be raised to support BC Children’s and Royal Inland Hospital. Despite the postponement of the 2020 and 2021 version of this event, CPKC donated nearly $3.5 million to these charities and our goal of $2.5 million for this year is well within reach. A special thank you to CPKC for their unwavering commitment to these important charities that benefit our community.

Together with our partners, CPKC, Golf Canada, and Musqueam First Nation, we aim to deliver an unrivalled experience not only for these athletes but also for the 60,000+ spectators expected during the event. Furthermore, our F&B team will be welcoming many esteemed guests and will prepare meals for over 7,000 people during the event. As representatives of Shaughnessy Golf and Country Club, each of us plays a critical role in achieving making this experience memorable for all involved including ourselves.

This guide is designed to provide you with important information about our event operations, from August 19th to August 29th. Regular Club operations will resume on Wednesday, August 30th.

The following sections outline many key standards, procedures, and expectations to guide us through this exciting time. Please read carefully and refer to it as needed. Your contributions to our team and this event are invaluable. Let’s work together to create an unforgettable CPKC Women’s Open!

Standards of Service Reminder

All employees are expected to uphold our tradition of excellence. Key principles of service include:

  • Strive for the Shaughnessy Experience: highest quality programs, services, and facilities – the best of the best.
  • Make the most of each interaction you have with guests during the event. S.E.C. – smile, make eye contact, and comment.
    • Yield to any guests passing in the hall – offer right of way.
    • Anticipate their potential needs and hold open doors whenever possible.
    • Escort guests as opposed to telling or pointing them in a direction.
    • Address departing guests – thank you for joining us today | have a wonderful day/night.
  • Anticipate and work with a sense of urgency.
  • Uphold our values (C.A.R.E.) – Community, Accountability, Respect, Excellence.
  • Speaking standards:
*** Please do not use your cell phone in any fashion in any member-guest facing area. In addition, it is important to respect the privacy of the LPGA players while on site by not asking for autographs or pictures while you are on shift, and in any non-spectator locations.

Key CPKC Women’s Open Dates

Key dates related to the event include:

July 24th – Infrastructure build-out begins

August 14th – 18th – Limited tennis court access

August 18th – Last day for members to retrieve belongings from the Club (clubs, carts, items in lockers, etc.). Male members with lockers in the Clubhouse Men’s Locker Room must remove all belongings by August 18th as the LPGA players use the men’s locker room for the event.

August 19th – 29th – Full Club closure (members will not have access to the Club without a ticket or tournament/volunteer credentials)

August 21st – Golf Canada Foundation Pro-Am

August 22nd – LPGA Player Practice Rounds

August 23rd – CPKC Pro-Am

August 24th -27th – Championship Rounds

August 28th – Golf Canada Partners Golf Event

August 29th – Closed

August 30th – Return to full club operations including all facilities and amenities

Specific Room Allocations to Shaughnessy/Golf Canada during the event

Access

Staff members will be provided with credentials (a badge) for necessary access to areas around the Club during the event. Please contact your direct manager to receive these credentials. We expect to start providing staff with credentials starting the week of August 14th along with a parking pass to access the Musqueam Cultural Centre (for those driving into and from work). It is critical that you remember to bring your credentials with you in order to gain access to the Club – credentials will not be reissued. 

Note that your credentials also give you access to be a spectator as well when you are off work.

Unfortunately, we do not have any additional event tickets to allocate for many guests you may have. However, if you are interested in purchasing tickets for the event, please click here and note the discount offer below.

The unlock code below can be used when purchasing Thursday-Sunday Daily Grounds tickets and Thursday-Sunday Daily Heritage Lounge tickets from now and through August 20th, 2023 (while supplies last). Parking and Transportation

On the actual tournament days, August 21st and through August 27th, parking for staff will be at the Musqueam Cultural Centre with a shuttle service to and from Shaughnessy, which will drop you off inside the Club gates, near the roundabout. Note that if you are planning to get dropped off, bike or transit, you will need to go through general admissions security which could cause further delay and will require a bag search. Please allow for 30 minutes of extra time for transportation, as shuttles from the Cultural Centre will run every 8 minutes, from 4:30 a.m.-10:00 pm. For any staff members that need to arrive prior to 4:30 a.m., there is free parking available along SW Marine Drive as well (please avoid any no parking stretches). Additionally, for Course and Grounds crew that arrive prior to 4:30 a.m., you will have limited access to parking around the maintenance yard – please contact Andrew for more details.

Limited on-site parking will be available for staff on the pre-tournament days on August 19th and 20th as well as the post-tournament days, August 28th and 29th. Parking will return to normal on August 30th. 

There will also be bike racks located just outside the front gates for those that are using their bikes for transportation to and from Shaughnessy.

For those driving and parking at the Musqueam Cultural Centre, it is accessible via Tamath Crescent, through Salish Drive (please see this map for reference.) A map of parking at Musqueam can be accessed via here.

Staff Meals and Breaks

From Saturday, August 19th through Monday, August 28th, the staff meal dining and break area will move to the maintenance yard area instead of its regular area in the clubhouse – this is to help the F&B team with storage needs for the event. Staff meals will be provided from 10:30 am until 2:30 pm and again from 4:00 pm until 7:00 pm.

Staff meals will move back to the regular staff room on Tuesday, August 29th.

Note that staff will still have access to their lockers in the receiving area.

Dress Code

The dress code for all departments will remain the same as during regular operations unless otherwise directed by your department manager.

Emergency Procedures

First Aid kits and AED machines are available around various locations at the Club. Please make yourself familiar with this and refer to this document for the specific locations.

Any type of health and safety emergency should be reported immediately to your direct manager who will inform the medical committee for the event.

Staff Roles, Duties and Responsibilities

For the most part, each of you will be doing duties that align with your regular duties and responsibilities that you are used to. However, some of you may be asked to perform duties outside of your regular responsibilities to ensure smooth operations. Your cooperation is much appreciated.

Reporting Issues and Deficiencies

Report any issues or deficiencies to your direct manager. Issues related to housekeeping such as washrooms needing service should be reported to Fatima directly. If you are unsure but feel that something is out of place, please contact Fatima and/or your direct Manager. We value your opinion and appreciate your insight.

Lost and Found

Items found within the Clubhouse or in staff areas should be provided to Fatima at fdelatorre@shaughnessy.org or posted to #lostandfound channel in slack (if you have access.) Anything found on the grounds where spectators can access should be given to your direct manager who will contact Clubhouse Maintenance to assist in transporting it to the admissions area at the front gate.

Volunteer Assistance

We are expecting over 1200 volunteers that will be helping us during the event, in virtually all cases, these volunteers will not be a part of our duties and responsibilities. However, there will be a few specific volunteer committee chairs that will liaise with staff members for effective execution of their duties.

Dealing with Media

Decline all requests for comments from the media. Instead, direct these requests to Fatima and she will ensure that the request goes to the right person. Typically, only Brian or Ashley will speak to the media on the Club’s behalf.
